Conference FAQ
I am a Sponsor what do I need to know about shipping?
Shipping Instructions
Very Important: We use a drayage company, Convention Solutions + Innovation (CS+I), for all shipments as the venue does not have shipping/receiving. Please follow precise instructions to ensure your packages arrive properly, on time, and with no surcharges. You will receive a welcome email from CS+I which will include directions and link access to the event page portal, exhibitor kit, and material handling order can be placed. Once you receive the email from CS+I, you can set up your account and log in here.
Shipments In: Plan to have your shipment arrive between August 18 – September 24. There is a 30% surcharge over standard pricing if your shipment arrives after September 24.
Fees & CC Authorization: Once you have access to the online portal fill out the order summary & payment authorization form for shipping and material handling.
All shipments must be labeled as follows: Company Name NPLA Conference 2025 c/o Convention Solutions + Innovation 102 W. Watkins St., Suite 100 Phoenix, Arizona 85003
All packages should be numbered (i.e. 1 of 5, 2 of 5, etc.)
Booth numbers are “TBD” and will be provided by us to CS+I closer to the event.
Bring Your Tracking Information with You: In the event there is a problem locating your packages on site, it is imperative that you have this information on hand. CS+I will not be able to assist you without a confirmation of delivery. We strongly recommend you monitor the status of your shipment along its route, to avoid any surprises.
Collecting Your Shipped Items: All properly labeled shipments will be automatically brought to your booth in Palomino Ballroom on Monday, September 29th for setup prior to 1:30 pm. Packages not properly labeled will result in delays.
Shipment Out: Outbound shipping is not an automatic process. Every outbound shipment will require a Material Handling Agreement and labels. CS+I will prepare these labels for you in advance. To take advantage of this free service, please complete and return the form prior to event move-in. Do not leave outbound Bill of Lading at your booth, complete and turn into the CS+I service desk within the exhibitor area.
If you are using outside services such as FedEx or UPS, the carriers do not automatically pick up from the ballroom, you must bring to the FedEx Business Center onsite and ship out. There are handling fees based on weight and number of packages. Please call them directly with any questions you may have at (480) 502-7505.

How can I become a speaker or panelist at the conference?
Sign up for a Gold Sponsorship which includes a spot on a panel.
Is there an attendee list?
To comply with anti-spam regulations, we do not provide an attendee list. However, our networking app allows you to view and connect with other attendees and export their contact information.
Is there a discount for hotel rooms at the venue?
Yes, a courtesy discount is available to all NPLA guests, limited rooms available.
What is my booth number and location?
Booth numbers and locations are determined based on sponsorship tiers and finalized shortly before the event. Please use "TBD" on any shipping or audiovisual documents. Once the necessary details are confirmed, we will provide them to the venue.
